Privacy Policy

This Privacy Policy explains how KINETIC ("KINETIC," "we," "us," or "our") collects, uses, and shares information when you use the KINETIC platform (the "Service"). By using the Service you agree to the practices described here.
1. Information We Collect
We collect the following categories of information:
- Account information: your name, email address, password (stored as a salted hash by Firebase Authentication, never in plain text), gym name, and the subscription plan you selected.
- Payment information: collected and processed by Stripe, Inc. We do not store full credit card numbers; we only receive a Stripe customer ID, a partial card identifier (last four digits, expiration), and subscription status.
- Service usage data: lesson plans you save, drills you customize, sticky notes, planner entries, routine videos you upload, and any other content you create within the Service.
- Athlete information (if you enter it): athlete name, date of birth, level, parent contact email, attendance, and skill progress. Athletes do not register themselves; this information is entered by you, the coach or program operator.
- Technical data: IP address, browser type, device type, timestamps, and basic analytics about how the Service is used. We use this to keep the Service running and to fix bugs.
2. How We Use Your Information
- To provide and operate the Service.
- To process payments and manage your subscription.
- To send you transactional emails (welcome, password reset, billing receipts, important account notices).
- To improve the Service, fix bugs, and develop new features.
- To respond to support requests.
- To comply with legal obligations.
We do not sell your personal information. We do not use your content (lesson plans, notes, athlete data) to train third-party AI models.
3. Third-Party Services
We use the following third parties to operate the Service. Each has its own privacy practices:
- Firebase / Google Cloud Platform — authentication, database, hosting, push notifications. Firebase Privacy.
- Stripe — payment processing and subscription billing. Stripe Privacy.
- Email delivery (transactional) — for welcome, password-reset, and billing emails. The provider we use is configured server-side.
- SMS delivery (if SMS features are enabled for your gym) — via Twilio. Twilio Privacy.
4. Athletes and Minors
KINETIC stores information about athletes, who are often minors. The Service is intended for use by coaches and program operators aged 18 or older. Athletes do not create their own accounts and do not interact with KINETIC directly. Coaches and program operators are responsible for obtaining any consents required by applicable law (including, where applicable, parental consent under COPPA and similar laws in other jurisdictions) before entering an athlete's information into the Service. We do not knowingly collect personal information from any individual under 13 directly.
5. Your Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Request that we correct inaccurate information.
- Request that we delete your personal information (subject to certain legal exceptions).
- Request a portable copy of your data.
- Opt out of certain processing (such as marketing emails — though we currently send only transactional emails).
To exercise any of these rights, email support@coach-kinetic.com. We will respond within 30 days. California residents have additional rights under the California Consumer Privacy Act (CCPA) and Europeans under the General Data Protection Regulation (GDPR), including the right to non-discrimination for exercising these rights.
6. Cookies and Local Storage
The Service uses browser local storage (and a small number of cookies set by Firebase) to keep you signed in, remember your UI preferences (such as filter selections or dismissed banners), and operate the offline-capable Progressive Web App. We do not use third-party advertising cookies or trackers.
7. Data Retention
We retain account information for as long as your account is active and for a reasonable period afterward (typically up to 30 days) to allow you to reactivate. After deletion, residual copies may remain in backups for up to 90 days before being permanently removed. Payment records and invoices are retained as required by applicable tax and accounting laws (typically 7 years in the United States).
8. Security
We use industry-standard security measures, including encryption in transit (HTTPS), encryption at rest for Firebase-stored data, and access controls limiting who at KINETIC can view your data. No system is perfectly secure; if we ever become aware of a breach affecting your information, we will notify you in accordance with applicable law.
9. International Users
The Service is hosted in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. By using the Service, you consent to that transfer.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. Material changes will be communicated by email at least 14 days before they take effect.
